Ready-Call Procedures:

Your Passcodes:  When you initialize your Ready-Call account, we will assign you a toll-free dial-in number and a set of unique passcodes for accessing the service.  You will receive 2 passcodes

  • Participant Passcode:  This 7-digit passcode is assigned by Teleconference.com when your account is activated, and is what you should give out to all those you wish to invite to a conference.  Participants will automatically be placed on hold until a Chairperson Passcode is entered to activate the conference.

  • Chairperson Passcode:  This passcode consists of the same 7-digit Participant Passcode, with a 4-digit PIN of the Chairperson's choosing immediately following.  Entering this passcode will activate the conference so that everyone can speak.  All callers who enter the conference on this passcode will also have access the the Chairperson Controls listed below.  You should be very cautious about giving out this passcode, as whoever has it will be able to use your conferencing account at any time.

Event Services General Procedures:
  • Services are accessed by dialing a toll-free conference center number, and entering a 5-digit passcode which is specific to your meeting.  
    In a few cases, toll-free phone numbers which connect directly to a specific conference may be issued (i.e., voicemail boxes, large listen-only audiences.

  • A reservation is required for each Event Service.  
    Make your reservation in plenty of time to distribute the phone number and passcode to all invitees.  To keep your meetings secure, we can only give information about how to access a particular call to the reserver or chairperson of that meeting. 

  • Passcodes are activated 5-15 minutes before scheduled start time.  
    If participants try to call in before the passcode is activated, they will hear a fast busy signal.  If you need to begin your conference earlier that the originally scheduled start time, call Customer Service to reschedule.

Automated Procedures:

This service is completely automated.  Entry is quick & uncomplicated.  No operator is present during the conference.

  • Automated Call Entry
    Lines open 5 minutes early. Callers dial the assigned 800 number and at the voice prompt they enter their specified 5 digit passcode. If the passcode is valid, they will then be transferred into the automated interactive 'LIVE' call.  
    Note: 
    There is NO "Music-on-Hold" option with this service, so if you are the first caller, you will enter a silent conference.  So if you don't hear anything after you connect, this is normal, and means the system is working correctly!
  • Invalid Passcodes
    If the code entered is invalid the caller will have a second chance to enter a valid passcode before being automatically disconnected.  If this happens, contact the conference chairperson or reserver to confirm that you have the correct passcode.  If further assistance is required, contact Customer Service immediately at (800) 624-6687, option 5.

  • Assistance
    If operator assistance is required during your call, dial (800) 624-6687, option 5, and ask Customer Service to have an operator intervene with assistance (in order to provide the low rates for these calls, an operator is not standing-by--our 800 Operator Assisted calls are available for customers who need high levels of assistance).

  • Recording of Automated conferences
    This service is provided at extra charge.  Recording will begin exactly at scheduled start time of the conference.  An operator is not present to adjust the start time of the tapes.

Operator Assisted Procedures:

These conferences are completely customizable, so be sure to discuss your options in detail with a Customer Service Representative.  Below are a few options that you can request from our operators as part of this service:  

  • Operator Answers All Calls
    The operator manually answers each incoming call asking for their name, company and any other specific information you require.

  • Operator Dials out to Participants
    If the operator is provided with the names and numbers of the participants required on your conference call, the operator(s) will dial each participant and announce them into the call.

  • Customized Script Reading
    Our operators can read any customized introduction or script during your conference call.  Simply include detailed instructions when you make your reservation.

  • Roll Call
    The operator can perform a roll call and provide a professional announcement to start your call.

  • Question & Answer
    At your cue, the operator can facilitate a formal Q&A session.  The operator will announce instructions for how to be placed in the "questions queue".  Each questioner's line will be un-muted when it is their turn to speak.

  • Touch-Tone Polling & Voting
    Either the conference chairperson or the operator may ask multiple-choice questions of the audience, and they can respond by pressing the appropriate number on their telephone.  The operator will record the results, and report them to the conference chairperson or reserver, in the manner you specify.

  • Tape Editing
    If you notice that you have made a mistake or would like to change something about a conference that you are recording, simply alert the operator, and they will note where the edits should take place.  This service is available for an extra charge.
